President / Vice President / Secretary-Recording Secretary / Membership Secretary / Treasurer / Councillors / Newsletter Editor / Website Designer/Manager /Email Coordinator/ Advertising
- Chair Executive Committee;
- Contribute to the Newsletter;
- Meet and greet members at functions;
- Make announcements/speeches at functions as required;
- Liaise with the Consul General’s Office, Sydney
- To act as one of the club’s representatives;
- To act in place of the President during his/her absence
- Provide information on the club and club activities received by email;
- Assist with sending emails to club members regarding events;
- To assist in answering emails sent to club or forwarding them to appropriate committee members;
- Collect mail from club mailbox, sort and disperse to appropriate committee members
- Answer miscellaneous mail;
- Liaise with Catriona Smith at the Canadian Consulate, and ensure that membership forms and newsletters are available in the reception area;
- Act on requests from outside organisations. This includes lending flags and posters, and providing other information to promote Canada;
- To take minutes at all meetings, and email them in a timely manner to the President for distribution;
- See that correct books and accounts shall be kept, showing the financial position of the club, and present financial statements to the Executive ommittee when required;
- Responsible for co-signing all club cheques with Club President;
- See that all subscriptions are duly collected, and report to committee where there are errors;
- Arrange for club accounts to be audited prior to AGM
- To record club members (new and renewed) in database;
- Send out membership cards and letters to new and renewed members;
- Cash any cheques that are received for membership and to send any credit card details to Club Treasurer;
- Update club details into club email address book;
- Send bios of new members to Newsletter producer in order to publish in newsletter;
- Provide mailing list of club members for newsletter distribution or for other functions;
- Keep committee informed of current membership numbers;
- Send emails to our club members of upcoming events, consulate notices etc;
- Check the club's email account periodically and action or forward emails to appropriate committee members.
- Publish content submitted by committee members and other relevant club information in a visually pleasing newsletter format
- liaise with printers to ensure newsletter is printed on time each month.
- To maintain and update club website using information provided by newsletter and other committee members
- (this includes such items as announcement of club functions, advertisements, last minute announcements, etc);
- To assist in answering emails sent to club or forwarding them to appropriate committee members;
- Display club photos on website and then archiving them;
- Liaising with Membership Secretary to ensure all current club members have access to members only area
- Provide rates for all advertising enquiries,
- liaise with potential advertisers to obtain artwork, organise invoicing, as required pursue potential advertisers,
- liaise with Treasurer to ensure payments are processed and advise Newsletter editor of any new Ads.
Councillors (5 positions available)
- To assist with club functions/events; To be an active voice in meetings and vote on proposals.
